Engineering and Utilities (E&U) is responsible for Harvard's complex utility infrastructure, managing the purchase and operation of energy resources, and providing specialized engineering and technical services for the Cambridge and Allston campuses. The group manages Harvard's utilities systems (steam, electric power, natural gas, fuel oil, water and sewer), operates the Blackstone Steam Plant and the Cambridge campus chilled water plant, and provides professional engineering and technical services. This position is primarily responsible for utility administration, including billing services and customer support both internally and externally. This is a good opportunity to learn about the energy world including competitive and noncompetitive services. It is anticipated and intended that specific duties and assignments will vary to provide for flexibility in meeting business needs.
Provide billing payment services which include, database creation and maintenance; report generation and distribution; data entry of utility invoices, and data/information analysis utilizing various programs/technologies (e.g.EnergyWitness, Microsoft suite Excel, Word, PowerPoint, Maximo Management system, Progress Financial Suite, etc.) in support of various needs/activities within E&U.
Provide customer contact support and interface services, as well as, support on utility bills, metering, account information, vendors, and other administrative activities. Respond to information and records requests as needed or directed.
Provide general administrative support services including, but not limited to, invoice processing, contracts and records management, management of meetings and special events, telecommunications, office supply ordering, space allocation, office equipment inventory and maintenance, parking coordination, administrative support, reception and keyboarding or data entry tasks.
Participate in the establishment and implementation of office policies and procedures required to meet departmental goals. This includes the review of existing processes and procedures, and the development and implementation of new processes and procedures.
Participate in department cross training in order to provide backup for team members.
Perform all functions in full compliance with established policies and procedures.
May participate and/or serve on Campus Service committees and task forces.
Perform related job duties or other assignments as required or directed.
Emergency Status Designation: Critical Personnel (Note: Under certain circumstances, as determined by E&U management, required to provide on-site support during emergency situations.)

Three or more years' office/administrative experience and accounting or bookkeeping experience is required.
In-depth understanding of and experience with databases, spreadsheets, and word processing, and email software packages (Windows OS, MS Office: Excel, Outlook, Word).
College degree preferred with some understanding of utilities/operations.
Must have excellent communication (verbal and written) and interpersonal skills and the ability to work effectively and independently in a fast-paced environment.
Must be capable of working as part of a team and make team efforts.
Must be able to manage multiple responsibilities, set priorities, take initiative and meet deadlines.
Must be detail oriented and have the ability to complete tasks accurately.
Previous customer service experience.
Must be willing to provide backup to other locations as needed
