The Property Management Administrative Assistant will work with and report to the Sr. Manager of Property Management and assist the Sr. Manager of Development, Construction and Engineering in the coordination of their day to day duties. In addition, the PMAA will have clerical duties such as maintaining and updating electronic and paper files, performing administrative support tasks such as tracking schedules, updating portfolio information, answering calls, taking messages and/or dispatching task to property manager as needed.
Key responsibilities for Property Management support include but are not limited to- maintaining property management documentation, update and maintain onsite and emergency contacts, monitor social media, support facilities assistant inputting information for preventive maintenance schedules, equipment and supply inventory logs,monitor operating requirements in leases and permits to insure compliance. Provide backup support in absence of Property Manager or Facilities Assistant as point of contact when calls /requests come into the office.
Key responsibilities for Development, Construction and Engineering support include but are not limited to-update and maintain electronic database of property facility and sustainability plans, technical reports, mechanical equipment information, design documents and on-going permit conditions, generate and manipulate lease exhibits and other presentation quality materials, monitor and document portfolio solar array and electric car charging station usage, cost and performance data. Provide support for project documentation closeout and contract administration tasks.
Bachelors Degree is required.
Proficient use of Word, Excel, Adobe other software and social media platforms are required. Familiarity with or ability to successfully learn Building Engines, Keyscan, SAGE/timberline and CAD software programs is also required.
