Reports to the Associate Director of Facilities (ADF), the Sr. Manager of Physical Plant plays a significant role in the delivery of facilities services across the HBS campus by leading over twenty dedicated full time trades staff and vendors. Responsibilities include management of all tradespersons and related vendors and oversight of preventative maintenance.
Core Job Functions include:
Consistently provides exceptional customer service and continuously improves the level of customer service provided by the HBS Facilities Department, coordinating with other departments as needed.
Stays abreast of all work on campus and acts as liaison between Operations office and trades shop, ensuring continuity of information sharing and teamwork
Regularly tours buildings to ensure campus is maintained up to HBS standards
Facilitates and monitors completion of all trades work orders, working closely with the Facility Coordinator to ensure all work orders are completed in a timely manner.
Becomes proficient in and assists in administering the HBS Computer Aided Facility Management (CAFM/Service Now) system. Ensures that trades staff use CAFM in the completion of their daily duties. Reviews CAFM generated reports to ensure departmental goals for completion rates and response time are being met and/or exceeded
Along with ADF, administers preventative maintenance program for entire campus
Continues to foster and create a team atmosphere within the trades with a focus on customer service and team ownership of the campus
Regularly evaluates trades staffing and organizational structure and provides recommendations to ADF. Assists in development of trades staffing plans
Energy Conservation/Building Management Systems
In conjunction with ADF and Controls Specialist, administers the HBS building energy management systems to control HVAC, lighting and other systems to coincide with campus events/schedules. As needed, uses BMS to monitor building systems.
Assists with management and daily operation of 4800 ton central chilled water plant and implements campus protocols for chilled water diversity, plant optimization, and demand response
Is highly involved with Continuous Commissioning program on campus.
Active with the Greenhouse Gas Reduction goals on campus. Regularly reviews campus utility trends and consumption and offers up ideas for energy conservation opportunities and efficiency improvements
Participates in Greenhouse Gas Reduction strategy by familiarizing themselves in various energy audits/ technical analyses conducted on campus, implementing projects, improving O&M, enhancing building automation and energy management systems through field improvements and software programming and ensuring accurate metering and energy consumption
Other responsibilities include the following:
Assists with implementation of University Environmental Health and Safety program, including but not limited to, confined spaces, refrigerant management, spill containment, mold and asbestos monitoring and abatement, storage and disposal of universal waste and hazardous materials etc.
Handles procurement of all services, parts, and equipment for Facilities group. Maintains parts and equipment inventory and stocks emergency closets on campus
Involved with commissioning of new and renovated building systems by participating in training, building walk-throughs, reviews of O&Ms, etc.
Reviews plans and submittals (electrical, mechanical, plumbing, etc) for all new and renovated building systems
Collaborates with Operations project managers and Capital Programs staff and attends project meetings as needed.
Working Conditions: Some exposure to extreme degrees of heat, noise, dust and dirt, areas requiring infection control. Ability to meet deadlines and make sound decisions, sometimes under stress. Work whatever hours are necessary to maintain facility in a safe manner including weekends and nights.
Physical Demands: Sits; stands; bends; kneels; climbs stairs, ladders, and equipment; has good sense of balance to work on heights. Some lifting of medium and/or heavy equipment and tools.

Union: 00 - Non Union, Exempt or Temporary
Bachelor's degree or equivalent with 7+ years of related facilities experience, including at least 3 years of supervision of facilities work/trades crew/staff.
Knowledge of facilities, construction and IT terminology strongly desired.
Experience supervising and effectively collaborating with professionals at varying levels of responsibility and skills. Ability to evaluate, select and manage appropriate vendors for MEP related services.
Strong Computer skills required. (MS Excel, Word, MS Internet Explorer, Email (MS Outlook) administrative database application tools). Building energy management systems and computer aided facilities maintenance systems (CAFM/Service Now) experience preferred.
Knowledge of OSHA regulations, building codes, environmental agency requirements, life safety standards, etc. required.
Must possess excellent decision making and organizational skills. Ability to exercise good judgment and discretion with sensitive and confidential materials
Ability to communicate well in verbal and written form is essential. Demonstrated professionalism in interactions with university faculty, staff and students, public officials, contractors, and the general public.
Strong interpersonal skills. Ability to work well and build relationships with other Harvard department employees and vendors
Self-motivated and takes initiative to resolve problems. Must be able to meet deadlines in fast paced environment. Attention to detail is a must.
Must be construction-document and drawing literate, with knowledge of all phases of construction. Must have experience and proficiency in all methods, materials, scheduling, and cost control as they relate to MEP
