ADMINISTRATIVE ASSISTANT II , Mechanical Engineering , to provide comprehensive support for one professor and his laboratory. Will maintain communication with the principal investigator and research scientists--including while they are travelling--to ensure that urgent tasks are communicated; assist faculty and teaching assistants with the preparation and organization of materials for courses; manage project reporting; assist academic entrepreneurship efforts; create and distribute weekly MIT PV Lab newsletter; supervise website and database updates; design PowerPoint posters and presentations; monitor and order supplies and equipment; process requests for payment and invoices; monitor and reconcile accounting statements; schedule appointments, meetings, and travel; and deal with confidential issues using discretion and judgment.
REQUIRED : a high school diploma or its equivalent; a minimum of three years' secretarial, office, or related experience; excellent analytical, problem solving, time management, organizational, communication, interpersonal, and customer service skills; ability to work effectively with people at all levels; excellent word processing and proofreading skills; ability to handle multiple tasks simultaneously; fast-learner; ability to work independently and as part of a team; ability to prioritize and problem solve; meticulous attention to detail; experience with arranging travel, paying invoices, ordering supplies, account reconciliations, and expense reimbursements; proficiency in the Microsoft Office, Adobe Acrobat, and graphic design software; experience updating websites and with graphic design; experience with event planning; and willingness to learn new software.
