Facilities Services (formerly Physical Plant Campus Services) provides a full range of services including custodial and grounds support, building maintenance, pest management, recycling and refuse collection, and management of the utility infrastructure. FS also manages the purchase and operation of energy resources and provides specialized engineering and technical services.
Facilities Services Accounting provides supporting services to all units within Facilities Services primarily through billing, accounts receivable and accounts payable services. As a member of accounting unit the Accountant 2 is responsible for analyzing, monitoring, preparing and reconciling financial information to reflect the condition of the organization and provide financial and other statistical data to control operations.
•Maintains one or a combination of general accounting systems. •Processes invoices in Bearbuy and validates invoices in work order system. •Prepares and inputs sundry debtor billing charges into CARS (Campus Accounts Receivable System). •Deposits checks in CDS (Campus Deposit System). Reconciles blucard transactions in BFS, verifies and match blucard transactions to Internal Requisitions (IR) and validates transactions to appropriate work order using the Invoice Validator. •Provides advice and guidance to Puchasing on all un-validated vouchers. •Ensures A/P, invoice validator and Dynalogic are in sync. •Prepares basic journal entries, maintains and reconciles ledger accounts. •Reconciles recharge activities and pass through fund 66990. •Prepares financial journals to post recharge activities to campus clients per MOUs. •Participates in fiscal close activities. •Provides record of assets, liabilities and other financial transactions. •Provides aging report on outstanding invoices and IRs. •Balances books periodically and helps prepare financial statements. •Interprets reports and records for campus administrators and managers. •Prepares ad-hoc reports as requested.•Has knowledge of accounting function and assignments. Strong accounting experience with emphasis in accounts payable. •Has ability to gather, organize, and perform basic accounting related analysis. •Requires ability to present information in a clear and concise manner both in writing and verbally. •Knowledge of financial transactions and financial systems, as well as related policy, accounting and regulatory compliance requirements. •Must be proficient in use of Microsoft Office and common desktop/web applications, including excel. •Under general supervision, provides analysis of moderate accounting projects. •Ability to work both independently and as a team member. •Demonstrated ability to juggle heavy deadline-driven workload and set priorities. •Associate or bachelor’s degree in accounting and/or equivalent experience/training
