Administrative Associate Job Code: 4103 Job Grade: FExemption: Non-ExemptAbout Us The Stanford School of Earth, Energy & Environmental Sciences (SE3) develops the knowledge and talent to understand the workings of the planet and to help solve resource and environmental challenges. The Department of Energy Resources Engineering in SE3 focuses on the design of processes for energy production and transformation, and the long-term storage of energy byproducts such as carbon dioxide. The Department is seeking a full-time Administrative Associate, with strong web editing and event coordinating skills, to be part of an administrative team that provides a full range of support to the Department, its faculty and its research programs. If you are highly motivated, up for a challenge and know how to get things done, this position may be the right career opportunity for you! Your Responsibilities will include:
Coordinating the logistics of research group events, short courses, Department seminars and annual meetings. Independently handling all event details including selecting and contracting with vendors, securing venues, monitoring the budget, managing the web-based registration database, and providing on-site event support.
Processing lab supply orders and reimbursements using Oracle financial applications.
Maintaining research group web sites.
Providing administrative support to a subset of Department faculty.
*-Other duties may also be assigned To be successful in this position, you will need:
High school diploma and four years of administrative experience, or combination of education and relevant experience.
Advanced computer skills and demonstrated experience with office software and email applications.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize, multi-task, and assign work to others.
In addition, our preferred requirements include:
Knowledge of Stanford University financial systems and policies
Experience planning and coordinating a wide-variety of events
Experience with web site maintenance, preferably using Drupal
