The Associate Registrar for Academic Programs & Systems assists in managing all aspects of the daily operations of the Registrar’s Office and serves as Banner and Degree Works super user for the Registrar's Office. Will supervise front office staff in conjunction with Associate Registrar for Operations.
Duties and Responsibilities:
Maintains Degree Works software by testing upgrades and patches, working closely with the Office of Information Technology. Using Scribe, completes and assesses all curriculum changes in the system, ensuring accuracy of programs and requirements. Diagnoses, monitors, and troubleshoots all course placement issues. Works with Advisement & Counseling to create and update curriculum Plan templates. Oversees the processing of exceptions, substitutions, and waivers. Assists with the administration of Degree Works security.
Manages National Student Clearinghouse enrollment and degree reporting. Supports the Financial Aid Office for Title IV federal compliance efforts. Ensures data quality assurance reports and error checks. Oversees student unofficial withdrawal process for financial aid purposes.
In conjunction with the Associate Registrar for Operations & Systems, works directly with OIT as Registrar's Office super user to coordinate system upgrades/conversions and implement new programs, creating step-by-step plans to test all aspects of newest Banner releases before implementation. Troubleshoots issues, and create reports with the Argos reporting tool. Attends trainings, seminars, and classes and independently researches new technology processes to stay up-to-date on current and future technology. Coordinates related computer system activities for the general office.
In tandem with the Associate Registrar for Operations & Systems, serves as front office supervisor and oversees quality and efficiency of customer service. Instructs assigned staff in the planning and performance of duties according to established standards. Collaborates with Registrar and Associate Registrar for Operations & Systems in evaluation of assigned staff.
Edits college catalog in Banner in accordance with curriculum changes. Represents the Registrar’s Office at Curriculum meetings. Updates all program and develops documents to update advisors on curriculum changes. Works with Marketing Department to ensure accuracy in the print and electronic version of catalog information.
Responsible for updating of Registrar’s Office web pages, ensuring correct curriculum and policy information. Oversees maintenance of academic policies as they relate to student records. Coordinates implementation of policies/procedures related to catalog maintenance and access.
Coordinates transfer credit evaluation, developing catalog of courses accepted in transfer, reverse transfer, program changes and office marketing with assigned staff.
Responsible for Banner data integrity. Identifies, troubleshoots, and corrects duplicate records. Works with Admissions, Student Accounts, Advisement & Counseling, and Financial Aid on diagnosing and troubleshooting errors in the Banner Student Module. Provides error resolution from discrepancy reports. Updates Banner Data Standards document and trains staff on established standards.
Serves on a number of school-wide committees, including the Orientation committee to help plan and organize orientations and the Enterprise Technology committee to discuss Enterprise applications, issues, and potential updates/upgrades. May participate in other committees as interest and time permits.
Analyzes business processes to ensure logical use of time and resources in the office and student services.
Interacts and collaborates with: faculty, deans, business office, and human resources relevant to course schedule, fees, faculty workload; staff in marketing and web development to ensure accuracy in publication of course schedule; and students, particularly relevant to the registration process.
Collaborates with vendors and agencies to enhance services to students and the college.
Other duties as assigned.
Competency in using PC-based computers that access servers; proficiency in Microsoft Office, Word, Excel, and Outlook; thorough knowledge of the BANNER system or similar web-based IT system
Ability to compile and evaluate data derived from data based information, presenting the results in electronic and written reports.
Ability to coordinate staff to work as a team, as well as independently, to complete deadlines and facilitate services through the Registrar’s office.
Ability to write clear and comprehensive procedures and instructions relevant to the Registrar’s Office and the college.
Bachelor’s degree in subject area, education or other related fields, Master’s preferred.
Three or more years of experience in higher education, enrollment management or student services, preferably in a community college setting.
Knowledgeable with federal privacy laws such as FERPA, HIPAA, etc.
Technical experience using student information system.
Work related experience which reflects advancement in an area of responsibility.
Proficiency in oral and written communication.
Demonstrated interpersonal skills.
Record of work excellence.
Willingness to be an advocate for students, staff and work area.

Hours: 37.5 hours per week, Monday - Friday (Occasional weekend, holiday and evening hours may be required)
Salary: $61,280.00 - $79,664.00
