Berkeley Lab's Office of the Chief Financial Officer (OCFO) is looking for a Vendor Set-Up Specialist to join their dynamic Travel & Accounts Payable Team! In this role, you will be responsible for correctly setting up and maintaining all vendors in the Financial Management System in accordance and in compliance with tax reporting guidelines, all applicable policies and procedures, contract requirements, banking/wire information, regulations, laws, and all Laboratory/DOE requirements.
Utilize computer databases (PeopleSoft Financial Management System) to enter and obtain financial information.
Responsible for interpreting tax forms provided by external vendors/suppliers and establishing their record in PeopleSoft promptly.
Responsible for periodic maintenance on the vendor/supplier database with oversight from manager.
Prompt response and resolution for Help Desk tickets assigned.
Independent contractor reporting.
Partner with Procurement on document follow-through.
Responsible for Travel Department duties that may include setting up Laboratory Guest's in the Vendor/Supplier Master and/or Travel system, Banking updates, etc.
Provide processing assistance for 1099s.
Reporting as needed.
A Bachelor's Degree in Business Administration, Accounting, Finance, or related field and 1 year of professional-level experience or the equivalent combination of education and experience.
Knowledge of methods to research, interpret, analyze, compile, and present data and information.
Knowledge of methods related to decision-making, problem solving and analytical.
Ability to follow desk guides and to create desk guides as needed.
Basic working knowledge of Microsoft Office Suite and Google Applications.
Ability to work both independently and as part of a team with the understanding and know how to establish priorities that ensure timely completion of multiple, often interdependent activities.
Excellent interpersonal, customer focused, written, and verbal communication skills with the ability to interact effectively with a wide variety of personnel at various levels.
Additional Desired Qualifications:
Experience working with and interpreting W-9's, W-8BEN's and state withholding forms.
Experience with setting up vendors in a financial management system.
Expertise working with Oracle or PeopleSoft financial systems.
